The Poster Session will be held on Monday, July 21, 2008, at the Marriott Wardman Park Hotel. This session will provide an opportunity for participants to share the work of their individual projects with other conference participants. These 2-hour “spotlights” are an important aspect of the conference and therefore are presented during a time that is distinct from the rest of the conference proceedings.

Poster Submission Requirements

All conference attendees are invited to submit a proposal for the Poster Session by completing the online form provided through the link at the bottom of this page. Presenters are asked to prepare a tabletop display that illustrates the important aspects of a project and to remain available for individualized, informal discussions of the project’s components. Acceptance to display a poster will require that you (or a co-presenter) remain with your display for at least the first scheduled hour and that you remove it promptly at the end of the 2-hour period. Displays must remain intact throughout the entire Poster Session. No more than two (2) presenters will be allowed to register as co-presenters for each poster session and due to space limitations only one tabletop display will be allowed for each grantee or project.

Registration Fees

There is no additional charge for registered conference attendees to participate in the Poster Session. If you are not planning to attend the entire 3-day conference, you are welcome to participate in the Poster Session only for a fee of $65 per presentation. Attendees who register only for the Poster Session may not attend the remainder of the conference, so please consider this information as you plan your visit. Instructions on how to reserve a space at the Poster Session, which is separate from the registration process, are provided below.

The cut-off date for all registration is Friday, June 13, 2008. Late and on-site registrants will be required to pay an additional $50 late fee.

How to Reserve a Space

Using the online form provided here, submit the title of your poster presentation and a brief narrative describing the components of your project that will be the focus of your display. The title of your poster presentation should be no longer than 150 characters and the description should be no longer than 100 words. If selected, your title and description will be included in the conference program. If your project is an OSEP funded grant, you must identify the grant by title and grant award number. In the event that we have more reservation requests than the space can accommodate, the planning committee will give preference to topics that are of highest general interest and aligned with the overall theme of the conference. To allow ample opportunities for participation from varied projects, each project or grant is limited to one poster presentation at the Poster Session.

Audiovisual Equipment Needs

Each poster presentation will have access to one six-foot table with a tablecloth and two chairs. A three-panel poster board may be provided to poster presenters at a cost of $15, or presenters may bring their presentations already posted on a board of their own. Tape, glue, and pushpins will be given to each presentation at no charge. Additional AV is also available; however, presenters are responsible for all costs incurred for using additional equipment. Presenters should inform the conference planning staff if their presentations will require the use of electronic equipment to ensure that their presentations are situated near an outlet. A form will be provided to all accepted presentations requesting you to indicate your AV needs.

The submission deadline is Friday, May 16, 2008 at 5:00 p.m. EST. Please note that this is a firm deadline. Please note: No more than two poster session leader names will be included in the conference program.
